🎯 How to ensure essential Store Operations and Security measures are applied (and key stakeholders notified) in the event of temporary boutique closures for high-risk situations or for Authority decisions.

Store Managers must use the Re-Closing Checklist Online at this link to have the Boutique ready if Re-Closing is necessary. On submission of the checklist, the performer and supervisor are notified with a summary of the contents. Notifications are also sent to the key stakeholders of each Key Area at the Zone and HQ Levels.

Follow a recap of the guidelines for each KEY AREA of the Boutique

KEY AREA Safety & Security Inform the Facility Dept., Retail Operation, and Security Team about the boutique closing. Ensure that Security Company contacts are updated and available 24/7. Verify that FENDI employees’ emergency-contact phone numbers are updated and shared with the Surveillance/Patrol Company. Verify that Fendi employees (Boutique or Retail Office) are reachable. At least two employees shall be available for 1/5

Ensure all furs are kept in the Fur Fridge. In the absence of an instore Fur Fridge, make sure all furs are properly protected by fur covers. Keep the exotics bags in the stockroom protected by their covers. ​Keep watches and other small high-value items in the safe (if space is available). Make sure that doors accessing the back-of-house are closed and locked. Close (and shutter if possible) the entrance doors. Install rigid protection on windows and other potential smashand-grab locations. Postpone activities performed by third parties unless strictly related to the cleanliness and safety of places that Fendi staff use for protection. Pull down window blinds to hide the interior. Ensure that GSM store transmitters are activated to guarantee the Surveillance/Patrol company, or the authorized person receives any potential alarm signals. Activate Daily and Nightly Patrol Services.

If any malfunctions arise, inform the Facility Manager and the security alarm company. Verify that the CCTV system is functioning correctly (check on the monitor/screen). Reduce HVAC equipment operating hours (except for the fur fridge, IT Data Cabinet, and stockroom). Make sure that music and internal lights are turned off or activated in a night mode setup. Make sure the automatic fragrance diffuser is turned off. Never leave the Heaven iPad unattended on the shop floor. Make sure the safe is locked.

KEY AREA/Stock Management The following activities should be performed by store staff before closing the boutique: Email the Supply Chain Dept. and couriers to say the store is closing If any deliveries have not arrived, contact the suppliers to decide whether to send them back or change the destination address and inform the couriers accordingly. Ensure all online orders (i.e., Farfetch, Harrods Online, Le Bon Marché Online) have been dealt with before closing. With deliveries received during the closing day, ensure the stock is integrated into the system (ASN vouchers accepted). Leave the boxes closed. If time is short, quality checks can be performed when the store re-opens​ Inform the Supply Chain Dept. and E-Commerce teams to enable/disable the Omnistock + Pick up in-store functionalities. Inform the Retail Performance and the E-Commerce teams, if there are any Fendi.com pick-up in-store orders (New Orders/In Store/To be shipped to WHS) High-Value Items (such as exotics and furs) should be inventoried before the boutique closes.

KEY AREA/Boutique Management Inform the Retail Performance dept. and E-Commerce teams about the boutique closing to update the online services/ information (i.e., opening hours – closure on online maps, Fendi.com home page, and customer care.) Perform a brief interior inspection of the boutique before closing Be sure to leave the store in good condition. If it is not feasible to contact a cleaning company to clean the boutique a few hours before closing, the store staff is responsible for checking the following: The wastebaskets are empty. Check that the fitting room is empty and remove products if necessary. Make sure to take home: Your iPhone and the charger, if any. Your personally assigned PC – if any, and related charger. Your uniform for disinfection. Personal belongings should be removed from lockers, with personal lockers/drawers left empty and closed. Turn on the boutique's automatic irrigation system for the plants on the terrace, if any.

KEY AREA// Client | After Sales Inform CRM Teams, After Sales, and Customer Care about the boutique closing. Leave a specific message on the answering machine to inform customers about the store closing and the customer care contacts. The Generic Store emails (such as store.xx@fendi.com; stock.xx@fendi.com) should be re-addressed to the Store Manager and/or Store Operation Manager if needed, to be monitored on a daily basis. Be sure to contact customers before closing if any customer deliveries have been shipped. A specific newsletter is sent to all customers to inform them about the boutique closing.

KEY AREA/Cash Management Perform the daily sales and petty cash reconciliations through the E-closing tool before closing the store Store all cash present in-store within the safe (as per standard closing procedure) Request the on-call pick-up service to retrieve all cash present in the stores. Only the till float should be kept in the store safe Make sure the safe is closed and locked
